Privacy Policy

Sahabi (sahabiai.com) is business software for companies in Oman: point of sale, finance, HR, loyalty and meetings. It is provided by Tamkeen Tech LLC (Commercial Registration 1666437), Salalah, Sultanate of Oman ("Sahabi", "we", "us"). This policy explains what information Sahabi collects, how we use it, and the choices you have.
At a glance
- A company's business records belong to that company. We use them only to run Sahabi for it.
- We don't sell personal data and don't use it for advertising.
- Connecting a Google Account is optional. Sahabi uses Google data only for the meeting features described in section 3.
1. Information we collect
- Account information: your name, email address, phone number and role, and your company's details.
- Business records: what your company enters into Sahabi, such as products, sales, invoices, payments, customers, suppliers, employees, attendance, payroll, meetings and files.
- Loyalty members: customers who join a shop's loyalty program give their name and phone number; their points and stamps are kept for that shop.
- Technical information: sign-in times, device and browser type and similar information, used to keep accounts secure and fix problems.
- Card payments are handled by our payment provider, Amwal Pay. Sahabi does not store full card numbers.
2. How we use information
- To run Sahabi for your company: its features, records, receipts, documents and reports.
- To keep Sahabi secure, prevent misuse, and help you when you ask for support.
- To send you messages about your account, such as payments and security.
- AI features: when your company has them turned on, the text needed for a request (for example a question, meeting notes or a document to read) is sent through Sahabi's servers to Google's Gemini AI to produce the result. Your company's administrator can turn these features off.
3. Google user data (Google Calendar and Google Meet)
Sahabi Conversation can connect to your Google Account, only if you choose to. It then asks Google for two permissions:

When you press "Start with Google Meet" or schedule a meeting, Sahabi creates that meeting as one event in your primary Google Calendar with a Google Meet link, and reads that same event back to get the link. Sahabi does not read, change or delete your other events.

For the Meet link of a Sahabi meeting only, Sahabi reads when the call started and ended, the display names of the people who joined and, if Google Meet made one, the call's transcript. This lets Sahabi show that the call is live, save the real start and end time and who attended in the meeting record, and write the meeting summary. Sahabi does not join, record or change your calls, and does not read your other meetings.
How Google data is stored
The access Google gives Sahabi stays only in your browser's memory, for up to about an hour; it is never stored on our servers. Your company's meeting record keeps the Meet link, the calendar event reference, the call's start and end time, the names of the people who joined, Google's reference for the call and a link to the transcript in your Google Docs. Sahabi does not store transcript text: it is used once to write the summary.
How Google data is shared
Google data is used only to provide these features to you and your company's meeting records. Meeting notes and transcript text are sent through Sahabi's servers to Google's Gemini AI only to write the meeting summary, and only when your company has AI summaries turned on. We do not sell Google data or use it for advertising, and our staff do not read it unless you ask us to (for example for support), it is needed for security, or the law requires it.
AI models
We do not use Google user data to develop, improve or train generalized AI or machine-learning models.
Limited Use
Sahabi's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Your control
You can remove Sahabi's access at any time in your Google Account: Your connections to third-party apps & services → Sahabi → Delete all connections. Deleting a meeting in Sahabi deletes its record.
4. Where information is stored and how it is protected
Sahabi runs on Google Cloud (Firebase). Business records are stored in Google Cloud's Middle East region (Doha); some processing, such as AI features and payment checks, runs in Google Cloud's Europe region (Belgium). Information is encrypted in transit (HTTPS) and at rest by Google Cloud. Each company's records are kept separate, and people see only what their role in their company allows.
5. Who we share information with
We use service providers only to run Sahabi: Google Cloud and Firebase (hosting, database, files and sign-in), Google Gemini (AI features, when turned on) and Amwal Pay (card payments). They process information only to provide their services to us. We may also share information if the law requires it, or to protect the safety of people or of Sahabi. We do not sell personal data.
6. How long we keep information
We keep a company's records while its account is active. The company's owner can download the company's data at any time (Cloud → Download my data). When a company closes its account, we delete its data within a reasonable time, except records we must keep by law.
7. Your choices and rights
You can see and correct most of your information in Sahabi. To ask for a copy of your personal data, or for it to be corrected or deleted, contact your company's administrator or write to us at info@sahabiai.com. When your data is part of your employer's records, we work with your employer on the request.
8. Children
Sahabi is made for businesses and their staff. It is not directed to children.
9. Changes to this policy
We may update this policy. We will change the date at the top, and tell you in Sahabi about important changes.
